Groovenod Privacy Policy

How Groovenod collects, uses, stores, shares, retains, and protects information.

1. Overview

Groovenod Inc. ("Groovenod," "we," "us," or "our") respects your privacy and is committed to being clear about how information is collected, used, shared, retained, and protected.

This Privacy Policy explains how Groovenod collects, uses, stores, shares, and processes information in connection with the Groovenod application, website, ownership registry, Vault experience, GrooveSeal verification systems, Transfer systems, Owner Features, and related services.

Groovenod is not a streaming platform. Groovenod is an artist-first music ownership platform for releasing, collecting, verifying, transferring, and experiencing digital Pressings.

The Service may include Studio Pressings, Fan Pressings, Tour Pressings, Artist Pressings, music playback, album artwork, liner notes, ownership records, provenance records, Transfer records, GrooveSeal verification, issuance records, and related owner experiences.

Because ownership recognition, Transfers, GrooveSeal verification, provenance, and eligibility for certain features depend on records maintained by Groovenod, some information must be collected and retained for the Service to operate.

This Privacy Policy should be read together with Groovenod's User Agreement, which explains the rules that apply to Pressings, Transfers, GrooveSeal verification, ownership records, and account deletion.

By using the Service, you acknowledge that your information may be collected, used, disclosed, retained, and processed as described in this Privacy Policy.

Capitalized terms not defined in this Privacy Policy have the meanings provided in the Groovenod User Agreement.

For purposes of this Privacy Policy, "Service Records" means records maintained by Groovenod in connection with the Service, including ownership, entitlement, provenance, claim, Transfer, access, verification, issuance, and eligibility records.

2. Information We Collect

The information we collect depends on how you use the Service, the features you access, and the ways you interact with Groovenod.

Information may be collected directly from you, automatically through your use of the Service, from transactions associated with Pressings, from claim or Transfer flows, and from service providers acting on Groovenod's behalf.

Account and Authentication Information

When you create or access a Groovenod account, we may collect:

  • Email address
  • Authentication credentials or verification information

Groovenod account identifiers

Session and authentication tokens

Account creation information

Login and authentication activity

Account status information

Groovenod currently supports email-based authentication and verification methods. Authentication services may be provided by third-party service providers acting on Groovenod's behalf.

Profile Information

We may collect limited profile information associated with your account, including:

  • Display name
  • Account preferences
  • Settings and personalization choices
  • Account creation information

Groovenod does not require users to provide extensive profile information to use the Service.

Ownership and Registry Information

Because Groovenod operates an ownership-based platform, we collect and maintain records relating to Pressings and recognized ownership.

These records may include:

  • Pressing identifiers
  • Edition information
  • Entitlement information
  • Ownership records
  • Verification records
  • Provenance records
  • Claim records
  • Transfer records
  • Eligibility records
  • Ownership history
  • Acquisition information
  • Issuance and serial information, where applicable
  • GrooveSeal verification status
  • Historical registry records

These records form part of the Groovenod ownership registry and help establish ownership recognition, Transfer eligibility, verification status, provenance, collectible scarcity, issuance history, and related platform functionality.

Claim, Device, and Verification Activity

Groovenod may collect records related to claim flows, QR codes, GrooveSeal checks, entitlement checks, device-based claim activity, access validation, and verification events.

These records may include:

  • Claim timestamps
  • Claim status
  • Pressing identifiers
  • Account identifiers
  • App-generated device identifiers
  • QR code claim activity
  • Verification history
  • Access-validation activity
  • Security or fraud-prevention information

These records help Groovenod confirm ownership, prevent duplicate or unauthorized claims, administer Transfers, preserve provenance, and maintain registry integrity.

Camera and QR Scanning Information

If you use Groovenod's QR scanning features, the Service may request access to your device camera to scan supported Groovenod claim, Transfer, or verification codes.

Groovenod does not use camera access to collect photos or videos from your device. QR scanning is used to read supported Groovenod codes and may generate claim, Transfer, verification, access-validation, security, or fraud-prevention records.

Purchase and Transaction Information

When Pressings are acquired through purchases or related acquisition flows, we may collect and maintain records relating to those transactions.

These records may include:

  • Buyer email address
  • Order identifiers
  • Transaction identifiers
  • Payment status information
  • Purchase history
  • Fulfillment information
  • Refund or dispute information, where applicable
  • Payment method type or limited payment details received from payment processors
  • Tax, accounting, or compliance-related transaction information, where applicable

Groovenod does not store complete payment card numbers or full payment card credentials. Payment processing is handled by third-party payment providers.

Device and Technical Information

We may collect information relating to devices and applications used to access the Service, including:

  • Device identifiers
  • App-generated device identifiers
  • Application version information
  • Operating system information
  • Browser type, where applicable
  • IP address
  • Network and connectivity information
  • Technical diagnostic information
  • Crash or error information
  • Security and fraud-prevention information

This information may be used to operate, secure, maintain, troubleshoot, and improve the Service.

Usage, Playback, Download, and Operational Information

When you use the Service, Groovenod may collect information about how the Service is accessed and used.

This may include:

  • Playback activity
  • Download activity
  • Vault activity
  • Claim activity
  • Transfer activity
  • Feature usage
  • Access checks
  • Search or browsing activity within the Service
  • Error logs
  • Crash reports
  • Timestamps
  • Interactions with Pressings, GrooveSeal verification, liner notes, artwork, and owner-only features

Groovenod uses this information to operate the Service, confirm access rights, maintain the ownership registry, improve product performance, troubleshoot issues, protect against fraud or misuse, and understand how Groovenod features are used.

Owner Feature and Artist Access Information

If you participate in Owner Features, Ownership Verified Artist Access, artist communications, surveys, invitations, or optional owner participation programs, Groovenod may collect records relating to your eligibility, participation choices, opt-ins, responses, verification status, and interactions with those features.

Groovenod may use this information to confirm eligibility, administer owner-only experiences, provide aggregate participation information to artists or authorized rights holders, and protect participating owners' privacy.

Location and Geographic Information

Groovenod may infer general location information, such as country, region, state, or city, from IP address, device settings, payment information, or similar technical signals.

Groovenod may use this information for security, fraud prevention, operational analytics, rights-related requirements, regional service operation, and aggregate ownership insights.

Groovenod does not currently collect precise GPS location information through the Service. If Groovenod later offers a feature that requires precise location, Groovenod will request permission through the device or application before collecting it.

Information You Voluntarily Provide

You may voluntarily provide additional information through your use of the Service, including:

  • Support requests
  • Feedback
  • Messages submitted to Groovenod
  • Screenshots or diagnostic information you choose to provide
  • Liner Notes or other collectible contributions submitted through the Service

3. How We Use Information

Groovenod uses information to operate, maintain, improve, secure, and provide the Service.

We may use information to:

  • Authenticate users
  • Maintain accounts and sessions
  • Operate the ownership registry
  • Verify Pressing ownership
  • Verify GrooveSeal status
  • Establish eligibility for Owner Features
  • Process claims and Transfers
  • Maintain provenance and ownership history
  • Provide playback and Vault functionality
  • Deliver artwork, liner notes, and related content

Review, moderate, hide, restrict, or preserve Liner Notes, collectible contributions, or other User Content where necessary to operate the Service, protect users, comply with law, address rights-holder requirements, or enforce platform rules

Process purchases and transactions

Process refunds or disputes, where applicable

Support QR code and claim flows

Detect fraud, abuse, or unauthorized activity

Enforce the User Agreement and platform rules

Provide customer support

Respond to legal obligations and disputes

Protect the security and integrity of the Service

Comply with artist, label, licensor, publisher, rights-holder, licensing, and content-availability requirements

Develop, maintain, and improve platform features, ownership systems, verification systems, and related services

4. Ownership, Entitlements, and Transfers

Groovenod is an ownership-based platform. Certain ownership-related records are fundamental to the operation of the Service.

Groovenod maintains ownership, entitlement, verification, provenance, claim, Transfer, issuance, and eligibility records to recognize holders of Pressings and administer related features.

Ownership-related records may be used to:

  • Recognize current holders of Pressings
  • Verify GrooveSeal status
  • Determine Transfer eligibility
  • Establish provenance and ownership history
  • Enable owner-only features
  • Support fraud prevention and dispute resolution
  • Preserve edition integrity and collectible scarcity
  • Maintain the integrity of the Groovenod ownership registry
  • Support issuance history and serial or edition records, where applicable

Ownership and provenance records may continue to be retained after account deletion where reasonably necessary to preserve ownership history, edition integrity, GrooveSeal verification, issuance history, security, legal compliance, accounting records, dispute resolution, or other legitimate business purposes.

Where feasible, Groovenod may anonymize, de-identify, or otherwise separate retained records from personally identifiable information.

If a Pressing is transferred through the Service, ownership recognition, eligibility, and associated rights may transfer to the recipient in accordance with applicable edition rules and Service functionality.

A Transfer may change the current recognized holder of a Pressing, but historical ownership, provenance, claim, verification, issuance, and Transfer records may continue to be retained as part of the registry history.

5. Ownership Verified Artist Access

Certain Pressings may support features identified as Ownership Verified Artist Access or similar ownership-verification experiences.

Ownership Verified Artist Access is designed to allow Groovenod to recognize that a user holds an eligible Pressing and may therefore qualify for ownership-based experiences, communications, opportunities, or related features.

Participation is optional and may be enabled or disabled by the user where supported.

Ownership Verified Artist Access is associated with the applicable Pressing and may follow the Pressing if ownership is transferred through the Service.

Groovenod does not provide artists, labels, rights holders, or other Owner Feature participants with a user's personal contact information through Ownership Verified Artist Access.

Ownership Verified Artist Access does not require Groovenod to provide artists with a user's email address, real name, profile information, device identifier, or similar personal information solely because the feature has been enabled.

Ownership Verified Artist Access is not a marketing list, advertising consent mechanism, or general-purpose contact-sharing program.

Eligibility for ownership-based experiences may be determined through ownership records, entitlement records, and other Service Records maintained by Groovenod.

6. Artist and Rights-Holder Interaction Features

Where Groovenod provides artists, labels, or rights holders with information about Pressing ownership or participation, Groovenod is designed to provide aggregate or verification-based information unless the user chooses otherwise.

Such features may include artist updates, announcements, invitations, surveys, messages, special content, early access opportunities, community participation opportunities, or other artist-initiated interactions.

For example, Groovenod may confirm that an eligible Pressing is held, provide aggregate participation metrics, or support owner-only experiences without disclosing a user's email address, real name, device identifier, precise location, or direct contact information.

Groovenod will not provide an artist, label, or rights holder with a user's direct contact information through Ownership Verified Artist Access.

7. Purchases and Payment Processing

Certain Pressings may be acquired through purchases, artist campaigns, claim flows, promotional programs, Transfers, invitations, or other authorized acquisition methods.

Purchases, artist campaigns, or checkout flows may occur outside the Groovenod app, including through Groovenod web pages or authorized external purchase channels. After a purchase or acquisition is completed and verified, Groovenod may create, issue, mint, recognize, or associate the applicable Pressing with the Groovenod account, email address, or identifier used for the purchase or claim.

When purchases occur through the Service or associated purchase flows, Groovenod may collect and maintain transaction-related information necessary to process, fulfill, verify, and administer those transactions.

Payment processing is performed by third-party payment providers. Groovenod may receive transaction confirmations, payment status information, order identifiers, limited payment method details, customer identifiers, and related fulfillment records from those providers.

Groovenod does not store complete payment card numbers or full payment card credentials.

Transaction information may be used to:

  • Process purchases
  • Verify payment status
  • Fulfill Pressings
  • Maintain ownership records
  • Prevent fraud
  • Resolve disputes
  • Process refunds, where applicable
  • Satisfy accounting and legal obligations

Transaction records may be retained for accounting, legal compliance, security, dispute resolution, ownership verification, and related business purposes.

8. Offline Downloads and Device Storage

Groovenod may allow eligible users to download or cache certain content for offline access where supported by the Service.

Offline content or cached data may include:

  • Audio files or playback assets
  • Album artwork
  • Liner notes
  • Pressing information
  • Ownership and entitlement snapshots
  • Vault snapshots
  • Playback manifests
  • Application settings
  • Local diagnostic records
  • Cached content necessary for Service functionality

Offline content and cached data are stored locally on the user's device and remain subject to the Groovenod User Agreement and applicable rights-holder requirements. These files are stored in the app's local storage and are protected primarily by the user's device operating system and app sandbox.

Offline downloads and cached content are provided as a convenience feature and do not create ownership rights independent of the Service.

Groovenod does not intentionally collect detailed analytics records of every offline playback or cache access. However, Groovenod may collect or retain limited operational records needed to provide, secure, troubleshoot, and validate access to content, such as requests for signed media access, entitlement checks, track or album identifiers, user or account identifiers, timestamps, status or error information, local diagnostic records, and operational logs from media, storage, hosting, CDN, authentication, or similar infrastructure providers.

Groovenod may remove, invalidate, refresh, restrict, or require reauthorization of offline content or cached data if:

  • A user signs out
  • A user deletes an account
  • Access to a Pressing changes
  • Ownership changes
  • Downloads are cleared
  • Security or licensing requirements require such action

Users may also clear locally stored content through available device or application controls.

Account deletion through the app may clear certain locally stored content on that device where supported. Signing out removes the active session and may stop playback, but may not by itself delete all downloaded content, cached metadata, local settings, or local diagnostic files from the device.

Some device-level logs, operating system records, provider records, backup copies, or locally stored identifiers may remain depending on device settings, operating system behavior, backup settings, or provider retention practices.

9. Ownership Intelligence and Aggregated Insights

Groovenod may use information relating to Pressings, ownership records, acquisition activity, Transfer activity, participation in platform features, and other information associated with operation of the Service to better understand how the Service is used and to support artists, rights holders, and platform operations.

Where permitted by applicable law, Groovenod may generate aggregated, statistical, de-identified, or anonymized information derived from Service activity.

Examples may include:

  • Ownership counts
  • Edition participation levels
  • Geographic distribution trends
  • Release participation metrics
  • Transfer activity trends
  • Platform engagement metrics
  • Ownership growth patterns
  • Claim or verification trends

Groovenod may use these insights to:

  • Improve the Service
  • Support artist decision-making
  • Improve release planning
  • Understand ownership trends
  • Develop ownership-based experiences
  • Improve platform operations

Groovenod does not provide artists, labels, or rights holders with unrestricted access to individual user email addresses, personal contact information, device identifiers, or precise location information through ownership intelligence features.

Geographic insights, if provided, are intended to be aggregate and statistical in nature and are not designed to reveal the identity, precise location, address, or contact information of individual users.

10. Service Providers

Groovenod uses third-party service providers to help operate the Service.

Service providers may include providers for:

  • Authentication
  • Database hosting
  • Cloud infrastructure
  • Cloud storage
  • Media streaming or delivery
  • Payment processing
  • Refunds and disputes
  • App distribution, build, or update services
  • Email delivery
  • Support communications
  • Operational analytics from service logs
  • Crash or diagnostic reporting
  • Security
  • Fraud prevention
  • Infrastructure operations

These providers may process information on Groovenod's behalf only to the extent reasonably necessary to provide their services, comply with applicable obligations, or protect the security and integrity of the Service.

Service providers may process technical information such as IP address, device or browser information, account or user identifiers, request logs, media-access requests, signed URL requests, error information, and timestamps where reasonably necessary to operate, secure, deliver, troubleshoot, or improve the Service.

Groovenod does not sell personal information to third parties.

Groovenod does not authorize service providers to use personal information for their own independent marketing purposes.

Groovenod may change service providers from time to time as the platform evolves.

11. Data Retention

Groovenod retains information for as long as reasonably necessary to operate the Service and fulfill the purposes described in this Privacy Policy.

Retention periods may vary depending on:

Ownership and entitlement requirements

Legal obligations

Accounting requirements

Security needs

Fraud prevention requirements

Dispute resolution needs

Rights-holder obligations

Licensing, rights-holder, and content-availability requirements

Platform integrity requirements

Registry integrity requirements

Certain ownership-related records may be retained for longer periods because they form part of the Groovenod ownership registry and help preserve ownership history, provenance, issuance history, edition integrity, GrooveSeal verification, and platform integrity.

Certain collectible contributions, including Sealed Liner Notes and similar content intentionally contributed by users to a Pressing or release, may become part of the collectible record associated with that Pressing. Once sealed, these contributions may remain part of the associated release, Pressing, ownership history, or collectible artifact, including any text, signature, initials, name, or other content the user chose to include. Such contributions may be retained as described in the User Agreement even if an account is later deleted.

Local cached content, offline downloads, local settings, and local diagnostic records may remain on a user's device until cleared through available app or device controls, removed through account deletion where supported, removed by the operating system, or removed when the app is uninstalled.

Where appropriate and feasible, Groovenod may anonymize, de-identify, aggregate, or otherwise separate retained information from personally identifiable information.

12. Account Deletion

Users may initiate account deletion from the System tab in the Groovenod app where supported.

If you need help understanding the account deletion process, you may contact Groovenod at support@groovenod.com. For security reasons, Groovenod may require account deletion or other sensitive account actions to be initiated from within an authenticated Groovenod account.

Certain collectible editions may be transferable and may depend on preserved ownership history and provenance. As described in the Groovenod User Agreement, accounts that continue to hold transferable Pressings may not be eligible for deletion until ownership requirements associated with those Pressings have been satisfied.

Non-transferable Pressings, including Studio Pressings and other editions designated by Groovenod as non-transferable, may be removed from the account as part of the account deletion process, subject to applicable Service functionality, registry integrity, and retention requirements.

If account deletion is completed:

  • Access to the Service may be terminated
  • Authentication credentials may be disabled

Certain account information may be deleted, anonymized, disabled, restricted, or otherwise processed as part of the account deletion process

Preferences may be removed

Offline downloads and cached content may be removed where supported

Local session data may be cleared where supported

Deletion of an account does not necessarily result in deletion of all records associated with the Service.

Account deletion may result in permanent loss of access to Pressings associated with that account. Unless otherwise provided by Groovenod, Pressings associated with a deleted account may not be recoverable, and ownership recognition, eligibility for Owner Features, or other Service rights may be permanently extinguished.

Groovenod may retain certain records where reasonably necessary for:

  • Ownership verification
  • GrooveSeal verification
  • Provenance preservation
  • Transfer history
  • Issuance history
  • Edition integrity
  • Fraud prevention
  • Security
  • Accounting
  • Legal compliance
  • Dispute resolution
  • Other legitimate business purposes

Where feasible, retained records may be anonymized, de-identified, or otherwise separated from personally identifiable information.

13. Security

Groovenod uses administrative, technical, and organizational measures designed to help protect information and maintain the security of the Service.

Security measures may include:

  • Authentication controls
  • Access restrictions
  • Role-based permissions
  • Monitoring and fraud prevention measures
  • Secure infrastructure practices
  • Data protection procedures
  • Operational safeguards

No system can guarantee absolute security.

Users are responsible for maintaining the security of their accounts, devices, authentication credentials, and access methods.

Information stored locally on a user's device may also depend on the user's device settings, operating system protections, backup settings, and device security practices.

If you believe your account or information has been compromised, you should contact Groovenod promptly through available support channels.

14. Your Choices and Controls

Depending on your location and applicable law, you may have choices regarding the information associated with your use of the Service.

These choices may include:

  • Accessing account information
  • Updating profile information
  • Managing account settings
  • Enabling or disabling supported ownership-based features
  • Initiating account deletion from the System tab in the Groovenod app where eligible
  • Managing offline downloads and locally stored content through available app or device controls
  • Contacting Groovenod regarding privacy questions

Certain information may be required for operation of the Service and may not be removable while ownership, entitlement, verification, Transfer, legal, security, accounting, or platform integrity obligations continue to apply.

15. U.S. State Privacy Rights

Depending on your state of residence and applicable law, you may have certain privacy rights regarding personal information associated with your account or use of the Service.

These rights may include the right to:

  • Confirm whether Groovenod processes personal information about you
  • Access certain personal information
  • Correct inaccurate personal information
  • Request deletion of certain personal information
  • Request a copy of certain personal information in a portable format
  • Opt out of certain uses of personal information, where applicable

Groovenod does not sell personal information. Groovenod does not currently use personal information for targeted advertising or profiling that produces legal or similarly significant effects.

Groovenod also does not knowingly sell or share personal information of users under the age of 16.

You may submit privacy requests by contacting support@groovenod.com.

Groovenod may need to verify your identity before responding to a privacy request. If Groovenod denies a request, you may appeal the decision by contacting support@groovenod.com and stating that you are appealing a privacy decision.

Some requests may be limited where information is needed to preserve ownership records, provenance, Transfer history, GrooveSeal verification, edition integrity, security, accounting records, legal compliance, dispute resolution, or other necessary Service purposes.

16. Business Transfers and Legal Requests

If Groovenod is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be disclosed or transferred as part of that transaction, subject to appropriate protections.

Groovenod may also access, preserve, or disclose information when reasonably necessary to comply with law, respond to legal process, enforce the User Agreement, protect the Service, prevent fraud or abuse, resolve disputes, or protect the rights, safety, and security of Groovenod, users, artists, rights holders, or others.

17. Children and Age Requirements

Groovenod is not directed toward children under the age required by applicable law to use the Service without parental consent.

Groovenod does not currently require users to provide a date of birth when creating a Groovenod ID. Because account creation may occur through email-based authentication, Groovenod may not know a user's age unless the user, a parent or guardian, or another party provides that information.

Users must satisfy any age requirements established by Groovenod, applicable law, payment providers, artists, rights holders, or related Service requirements.

If Groovenod becomes aware that personal information has been collected from a child in violation of applicable law, Groovenod may take steps to delete, restrict, or otherwise process that information as required.

Parents or guardians who believe that a child has provided personal information to Groovenod in violation of applicable law may contact Groovenod at support@groovenod.com.

18. Changes to This Privacy Policy

Groovenod may update this Privacy Policy from time to time.

Changes may occur as a result of:

  • Product updates
  • New features
  • Legal requirements
  • Regulatory changes
  • Security improvements
  • Operational changes
  • Platform evolution

When appropriate, Groovenod may provide notice of material changes through the Service or other reasonable means.

Your continued use of the Service after an updated Privacy Policy becomes effective constitutes acknowledgment of the revised Privacy Policy.
